01The Short Version
- There are no accounts, emails or passwords.
- Your browser holds a random workspace key. We only store a keyed hash of it, never the key itself.
- Customer notes are read by a third-party AI service, and a summary of the customer is sent to a third-party AI decision service to produce the recommendation.
- We don't use cookies, advertising or third-party analytics trackers.
- You can export or permanently delete your workspace from Settings at any time.
02Information We Store
Your Workspace
When you first open the dashboard, your browser creates a random key and keeps it in local storage. The server derives a one-way hash from that key to identify your workspace, and stores when it was created and last used, plus your decision rules.
Devices
For each browser that opens your workspace we keep a short device description (for example “Chrome on macOS”), a partially masked IP address (for example 203.0.113.x), and when it was first and last seen. Only the 20 most recent devices are kept.
Decision Data
The customer name or reference, account attributes, notes you enter, and the results DecideX produces: extracted signals, predictions, recommendations, reviewer overrides and recorded outcomes.
03How We Use Information
- To produce, store and display decisions in your workspace.
- To calculate your dashboard metrics, such as agreement rate and drift.
- To retrain the shared prediction model using recorded outcomes. Training uses only account attributes and the outcome. It never uses names, references or notes.
- To diagnose failures using logs that don't contain keys or notes.
04Services That Process Your Data
An AI note-reading service receives the notes you enter so it can pick out sentiment, complaints and other signals. If you connect your own AI provider in Settings, that provider receives the notes instead. If you leave notes empty, nothing is sent.
An AI decision service receives a text summary of the account profile, the predicted risk, the signals from the notes and the notes themselves, so it can recommend what to do.
Hosting providers run the website and the API, and store the database. Each provider handles data under its own terms and privacy policy.
Avoid entering sensitive personal information, such as health or financial account details, in notes. DecideX doesn't need it.
05Browser Storage
DecideX doesn't set cookies. Your browser's local storage holds your workspace key, your theme and whether the sidebar is pinned. Clearing your browser's site data removes the key, so copy it from Settings first if you want to keep access to your workspace.
06How Long We Keep Data
- Decisions stay until you delete them or delete the workspace.
- The devices list keeps only the 20 most recently active browsers.
- Deleting the workspace permanently removes its decisions, devices and settings. Model versions already trained on recorded outcomes don't contain names or notes.
07Your Choices and Rights
In Settings you can copy or rotate your workspace key, remove devices from the list, download a JSON export, delete all decisions, or delete the workspace. For any other request, email hello@decidex.app.
08Security
Traffic is encrypted in transit, workspace keys are stored only as keyed hashes, and requests are rate limited. Anyone with your workspace key can open your workspace, so share it only with people you trust, and rotate it if it leaks.
09Changes to This Policy
If we make material changes, we'll update the date at the top of this page. Using DecideX after a change means you accept the updated policy.
